Sea & Air Logistics Assistant
Job Description
Our client is seeking a Sea & Air Logistics Assistant to join its operations team in Malta.
This role is primarily focused on air and sea freight operations, with some exposure to road freight where required. The successful candidate will support the day-to-day coordination of shipments, liaise with carriers, hauliers, customs brokers, clients, internal teams and ensure that shipment documentation and operational processes are handled accurately and efficiently.
Location: On-Site - Malta
Responsibilities:
As a Sea & Air Logistics Assistant, your broad responsibilities will include but are not limited to:
Provide administrative and operational support to the logistics and operations team.
Coordinate sea and air freight operations, including imports and exports.
Prepare, process and manage shipment documentation for air, sea and road freight.
Liaise with carriers, agents, customs brokers, hauliers, clients and other stakeholders.
Monitor shipments and ensure internal systems are updated accurately.
Use carrier portals, email communication and internal systems to make bookings and follow up on shipments.
Assist with invoicing, data entry and general office coordination.
Support the team in ensuring compliance with internal procedures and relevant regulatory requirements.
Assist with the handling and classification of cargo, including general cargo, dangerous goods, perishables, and other shipment types.
Visit the airport, Freeport, client sites, or other operational locations when required for shipment checks, document collection, or related work matters.
Maintain a customer-focused and professional approach in all communications.
Requirements:
Junior to mid-level experience in logistics, freight forwarding, supply chain, or a related administrative/operations role.
Experience in air/sea freight operations will be considered a strong asset.
Understanding of the air freight and sea freight process flow.
Computer literate, with the ability to work with MS Office, CRM systems, carrier portals and email-based communication.
Strong organisational skills and attention to detail.
Confident written and verbal communication skills.
Customer-friendly, service-oriented and able to communicate professionally with clients and suppliers.
Flexible, reliable and willing to support operational needs when required.
Willingness to learn and develop within a logistics environment.
Fluency in Maltese is strongly preferred due to regular communication with local hauliers, clients, and stakeholders.
A valid manual driving licence is strongly preferred, as company vehicles may be used during working hours for work-related visits.
Preferred Qualifications
IATA cargo qualification or diploma.
Dangerous Goods certification.
Previous experience using carrier booking systems or freight forwarding platforms.
Local logistics, freight forwarding, or cargo operations experience in Malta.
