Personal Assistant to CEO
Job Description
We are seeking a highly organised, presentable, and professional Personal Assistant to support the CEO of a group of companies. This is a hands-on role for someone who can thrive in a busy, high-expectation environment, balancing professional and occasional personal tasks while keeping multiple priorities in order.
Location: Hybrid – Malta
Responsibilities:
As a Personal Assistant, your broad responsibilities will include but are not limited to:
- Oversee calendars, email inboxes, and key deadlines across several companies
- Work with legal teams, accountants, and auditors to make sure all filings and documentation are completed on time
- Handle invoicing, bookkeeping, and basic accounting duties, including reconciliations and intercompany transfers, with Sage
- Plan and coordinate meetings, events, and travel logistics
- Welcome clients and guests in a friendly and professional way
- Track and follow up on quotes and invoices, and communicate with suppliers and contractors
- Bring structure to a dynamic office, creating clear systems that replace day-to-day chaos
- Organise and maintain shared files through Google Drive, OneDrive, and similar platforms
- Provide occasional personal support, around fifteen percent of the role, such as small errands, liaising with agencies for the founder’s children, or organising personal appointments
Requirements:
- Fluent in Maltese and English in both writing and speaking, with Italian viewed as an advantage
- Strong sense of organisation, close attention to detail, and confidence working with shifting priorities
- Three to five years of experience in a Personal Assistant or Executive Assistant role, ideally in a busy environment
- Solid understanding of basic accounting such as P and L, reconciliations, and intercompany transfers, with proven experience using Sage
- Able to stay calm, focused, and solutions oriented under pressure
- Reliable, discreet, and capable of managing confidential information
- Comfortable with technology, including calendar tools, email platforms, and shared file systems
- Professional and presentable, with a welcoming and positive approach
- Holder of a full driving licence, with a company car provided for work related errands
